PRAYAGRAJ, May 16 -- The record room at the Pratapgarh Collectorate has emerged as a benchmark for the entire state, with its fully digitised system making access to decades old records quick and hassle-free for both officials and the public. Impressed by the efficiency of the setup, authorities have now directed all districts in Uttar Pradesh to adopt a similar model. The modernised record room allows users to access even 50-year-old revenue records instantly with a single click. Documents can now be retrieved efficiently through a computer system by simply entering details such as tehsil, pargana or village name. Divisional commissioner Saumya Agarwal said the work was carried out quietly without any publicity. During her recent inspection of Collectorates across the Prayagraj division, she first visited Prayagraj, where she expressed concern over the poor condition of the record room and instructed officials to improve it. However, her visit to Pratapgarh presented a stark contrast, as she found the record room well organised, streamlined and highly efficient. Upon inquiry, it was revealed that the digitisation initiative was launched on the directions of former district magistrate Shiv Sahay Awasthi and has since been successfully completed. The divisional commissioner later highlighted this achievement in a meeting with the chief secretary, who appreciated the effort. Additional district magistrate (finance and revenue), Pratapgarh Aditya Prajapati said the digitisation work began in January 2025 and involved scanning more than 60 lakh old and deteriorating revenue documents consisting of mutation records and maps. These records have now been uploaded and synchronised with the district's official portal, where a dedicated "Land Records" section has been created for easy access. He further said that the divisional commissioner, during her visit a few months ago, expressed satisfaction with the digitised functioning of the Collectorate and informed the chairman of the Revenue Board, Anil Kumar, about the achievement. A detailed presentation of the system was subsequently made before him by ADM Prajapati and his team. "Following this, the Revenue Board has issued directions to all districts to digitise their record rooms on the Pratapgarh model, " he said. He described the initiative as a major step towards improving transparency, efficiency and public service delivery, noting that such an advanced and effective system had not been seen elsewhere in the state so far....
